Who operates the service
Needo Inbox is operated by Amigo Softcom LLP. It lets a business connect its WhatsApp Business Platform number and manage conversations with its customers. This page covers Needo Inbox. See Needo’s main privacy policy for the other Needo services.
Information we process
We process the connected business account and phone number identifiers, encrypted Meta access credentials, customer names and WhatsApp numbers, message text, message types, delivery updates, opt-in records, opt-out preferences, saved replies and bot rules. We also record the account and actor responsible for connection and messaging actions.
Why we process it
We use this information to connect the selected business number, receive and display conversations, send messages requested by authorized business users, report delivery status, enforce messaging windows and opt-outs, and diagnose service problems. Owners and managers of the selected Needo business workspace can use its inbox; staff accounts do not have inbox access.
Meta and hosting
Meta processes the WhatsApp connection and message delivery through the WhatsApp Business Platform. Needo stores workspace records on its private server hosted by DigitalOcean. Business access tokens are encrypted in storage and are not returned to the browser. Embedded Signup loads Meta’s login SDK when an owner chooses to connect a number. Meta’s own terms and privacy policy also apply.
Bot replies
Inbox’s keyword bots use rules set by the business. These rules do not call a generative AI model. A business can switch a conversation to human replies. Customer opt-out preferences block further outgoing messages in Inbox.
Retention and disconnection
Conversation and contact records remain with the business workspace until deletion is requested. Disconnecting a number removes its saved access token and cancels queued messages; it keeps conversation history. Temporary signup tokens expire after ten minutes and are removed by the service’s cleanup worker. Account-update event records are removed after thirty days. Recovery backups can contain older records; include backup copies in a deletion request if relevant.
Your choices and deletion requests
A business owner can disconnect the number from Connection & replies. To request access, correction or deletion of Inbox data, contact Shashank Jain at shashank@amigo.gg, identifying the business workspace and relevant phone number. We review the request and verify authority before releasing or deleting records. Customers can contact the business they messaged or ask Needo for help locating the relevant workspace.

Business responsibilities
The connected business is responsible for having permission to message its customers, recording opt-ins and using approved templates where required. Connecting a number does not automatically send any messages or subscribe its customers to marketing.
